Online Voting Platform in Bitrix24: How We Simplified and Automated Decision Making

Client
The government of one of the regions of the Russian Federation approached us with a request to digitalize the voting procedure, which was previously carried out in the traditional format at meetings.

Problem
The voting procedure required the physical presence of participants. The use of specialized equipment to record votes increased the time for data processing and created risks of errors.

Tasks
Create a digital platform for conducting voting.

Solution


We analyzed the current voting processes in the client's region.

Based on them, a custom voting module was developed from scratch to transfer the voting procedure from a physical meeting to the Bitrix24 digital platform. This ensured full synchronization with existing processes and databases.

The module allows you to conduct voting and see the results in real time from mobile devices, from the Bitrix24 application and from the desktop in real time.

We set up response templates ("for", "against", "abstained"). We automated the collection, visualization and export of voting results with division by vote positions.

How the module works
The full functionality reflects the real meeting process, similar to that used in government bodies.

Creating a poll:

A user with the appropriate rights specifies a list of questions for voting (e.g. "for", "against", "abstain").
The roles of the participants are determined: chairman of the meeting, secretary, participants.
The date and time of the vote are set.
Start voting:

Meeting participants see an agenda with the opportunity to vote.
Voting can be restarted or resumed if it has been paused.
Voting process:

Each participant has a question and answer buttons (for, against, abstain) displayed on their mobile device or desktop.
When voting, the data is instantly updated and recorded on the server.
Displaying results:

Voting results are displayed in real time, adding transparency and accountability to the process.
The system displays a list of those who voted, those who abstained or did not vote.
It is possible to go to detailed information on each issue and participant of the meeting during the voting. The creator of the vote can go to the meeting card and understand what issue is currently being voted on, who is the chairman, secretary, who of the voters abstained, voted for and against each issue.
The function of exporting voting results and questions into various formats has been implemented, which allows analysts and managers to quickly obtain the necessary information for reporting and decision-making.
Results
Digitalization of the process made it possible to conduct voting via a mobile application, mobile devices and desktop.
The time and technical costs of organizing meetings and processing results have been reduced.
The counting of votes and the generation of meeting minutes have been automated.
We have developed a flexible tool with the ability to customize the module to meet the specific needs of the client.
